Terms of Service

Welcome to Rubil. By installing or using the Rubil Chrome Extension, web dashboard, or any associated services (collectively, "the Service"), you agree to these terms. If you do not agree, do not install or use the Service.

1. The Service

Rubil is a Chrome extension that converts spoken input into formatted, professional text inside web applications.

• Formatting, Not Generation: Rubil formats your words. We do not generate, rewrite, or create content on your behalf. Your vocabulary, phrasing, and ideas remain yours.
• Platform Adaptation: The Service automatically adjusts the structure and formatting of your text based on the detected web application (e.g. Gmail, Slack, Jira, Google Docs). You acknowledge that these formatting decisions are automated.
• Personal Dictionary: The Service includes a personal dictionary system that stores your names, acronyms, projects, terms, and expansions. Dictionary data is encrypted locally on your device and synced to our cloud database to enable cross-session access. Dictionary entries are sent to our AI formatting provider to improve output accuracy.
• Third-Party Processing: The Service relies on third-party providers to function. Your voice audio is sent to Groq for transcription. Your transcribed text and dictionary entries are sent to OpenAI for formatting. Both providers process data transiently under their enterprise API terms. Full details are in our Privacy Policy.

2. Your Account

• Registration: You must create a Rubil account to use the Service. You are responsible for maintaining the security of your account credentials.
• Accurate Information: You agree to provide accurate information when creating your account and to keep it current.
• One Account: Each person may maintain one account. Accounts are non-transferable.

3. Usage and Tiers

We offer two tiers of service:

• Free Tier: Limited to 1,000 words processed per day. Resets at midnight local time. Includes access to the personal dictionary, platform-specific formatting, and the web dashboard.
• Pro Tier: Unlimited word processing for a subscription fee (currently $9/month). Includes all Free Tier features plus permanent transcription history and early access to new features.
• Fair Use: "Unlimited" on the Pro Tier is subject to fair use. We reserve the right to throttle or suspend accounts engaged in automated request flooding, reverse-engineering our API, or any activity that degrades the Service for other users. All API endpoints are rate-limited to prevent abuse.

4. Payment and Billing

• Billing: The Pro Tier is billed monthly through Stripe. You may cancel at any time. Upon cancellation, your Pro access continues until the end of your current billing cycle, after which your account reverts to the Free Tier.
• Subscription Management: You can manage your subscription, update payment methods, and view invoices through the Stripe billing portal accessible from your Rubil dashboard.
• 30-Day Guarantee: If you are not satisfied with Rubil Pro, you may request a full refund within 30 days of your initial purchase by contacting us at support@rubil.io.
• Price Changes: We may adjust pricing with 30 days' notice. Existing subscribers will be notified before any price change takes effect on their next billing cycle.

5. Your Content

• Ownership: You retain full ownership of all text output produced by the Service. Rubil claims no intellectual property rights over your dictated words or formatted output.
• No Transcript Storage: We do not store your voice recordings or transcripts on our servers. Audio and text are processed transiently and discarded immediately after formatting. If you close a tab before your text is inserted, that data cannot be recovered.
• Dictionary Data: Your dictionary entries are stored encrypted on your device and synced to our cloud database. You can export, edit, or delete your dictionary at any time. Account deletion removes all dictionary data from our servers.
• Analytics: We collect anonymized usage metrics (session timing, error rates, platform context, word counts) to monitor and improve the Service. These analytics contain no transcript content, dictionary content, or personally identifiable information beyond your user ID. See our Privacy Policy for full details.

6. Acceptable Use

Rubil is built for professional communication. By using the Service, you agree not to:

• Use the Service to produce or distribute hate speech, harassment, threats, or content that violates applicable laws.
• Attempt to reverse-engineer, decompile, or extract the source code of the extension or backend systems.
• Automate requests to our API outside of the normal extension workflow.
• Circumvent rate limits, usage quotas, or authentication mechanisms.
• Share, resell, or redistribute your account access.
• Use the Service in any way that could damage, disable, or impair it for other users.

Profanity Handling: Our formatting engine automatically sanitizes common profanity to maintain professional output. This is a formatting feature, not a content policy. You may disable this in your extension settings.

7. Third-Party Services

The Service depends on third-party providers including Groq (transcription), OpenAI (formatting), Supabase (database), Vercel (hosting), and Stripe (payments). These providers operate under their own terms of service and privacy policies. We are not responsible for outages, data handling changes, or service modifications by these providers. If a third-party provider experiences downtime, the affected Rubil functionality may be temporarily unavailable.

8. Intellectual Property

The Rubil name, logo, extension code, website, formatting algorithms, and all associated materials are the property of Rubil Inc. These terms grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose. You may not copy, modify, distribute, or create derivative works from any part of the Service.

9. Termination

• By You: You may stop using the Service at any time by uninstalling the extension and, if desired, deleting your account from the web dashboard. Uninstalling removes all locally stored data. Account deletion removes all associated data from our cloud database.
• By Us: We reserve the right to suspend or terminate your account if you violate these terms, engage in abusive behavior, or if continued service is not commercially viable. Where possible, we will provide notice before termination. If your paid account is terminated for cause, no refund is owed for the remaining billing period.
• Effect of Termination: Upon termination, your right to use the Service ceases immediately. Sections 5 (Your Content — ownership rights), 10 (Disclaimers), 11 (Limitation of Liability), and 13 (Governing Law) survive termination.

10. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

• Speech recognition is not infallible. You are responsible for reviewing all formatted text before sending or publishing it.
• Platform-specific formatting is automated and may not always match your expectations. Results may vary across different web applications.
• We do not guarantee uninterrupted or error-free operation. The Service depends on third-party infrastructure that may experience downtime.
• Dictionary suggestions are generated automatically and may include irrelevant or incorrect entries. You are responsible for reviewing and approving all dictionary additions.

11. Limitation of Liability

To the maximum extent permitted by law, Rubil Inc. and its officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill, arising out of or related to your use of the Service, regardless of the theory of liability. Our total liability for any claim related to the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

12. Changes to These Terms

We may update these terms to reflect changes in the Service or applicable law. If we make material changes, we will notify you through the extension or by email at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated terms.

13. Governing Law

These terms are governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions. Any disputes arising from these terms or the Service shall be resolved in the state or federal courts located in Delaware.
